Most requirements in Qarma are added automatically during your import process.
However, if you ever need to set up a requirement manually, you can easily create and manage it from the Requirements page

Creating a new requirement

To create a requirement manually:

  1. Go to Product compliance → Requirements.
  2. Click Create requirement in the top-right corner.

  1. Fill in the following fields:
    • Requirement name – the title of the requirement.
    • Start date – the date when the requirement comes into effect.
    • Requirement type – select Standard (default).
    • Description – optional notes about what the requirement covers.
  2. When done, click Create requirement.

Adding document specifications

After creating a requirement, you can define the document specifications linked to it. This allows you to describe what documentation is needed and who is responsible for providing or approving it.

In the Add document specification window, you’ll see the following fields:

  • Document name: The name of the required document (for example, Test Report or Certificate of Conformity).
  • Description (optional): Add any notes or clarifying details about the document.
  • Document scope: Choose whether the document applies to the Product or Supplier.
  • Expiration rule: Define how often a new version of the document is needed.
    • No expiration – the document remains valid indefinitely.
    • New document required on every order – upload a new file each time.
    • Determined by start and end dates in document – uses validity dates.
    • Renewal after a specific period of time – set an automatic renewal cycle.
  • Responsible for adding files: Select who should upload the document (Supplier, Product responsible, or Users and groups).
  • Responsible for approval: Choose who reviews and approves the document.

When all details are added, click Add specification to save.

Once the document specification is added, the new requirement appears in your Requirements list with all related information visible.
From here, you can always open the requirement again to edit, update, or remove it.
