Introduction
Audit & Supplier Compliance is a supply chain tool, used to collect, validate and manage supplier and production unit data. When using the tools for audits, assessment and general data collection, checklists play an essential role. Checklists are the place where you design what questions to ask, what data to collect and more. Basically a questionnaire.
Checklists
A checklist is the collection of questions, information requests, and similar that becomes an audit or assessment, when sent to your supplier or production unit. Simply put it is very similar to a survey or questionnaire. A checklist is compiled of the amount of sections you wish, which will be governed by a header. Underneath a header you will find a checkpoint. The checkpoint can be formulated as a question, such as “What processes do you have in the factory?”. It can also be formulated with simple points such as “name”, “address”, “contact”, etc. Underneath each checkpoint you can design how you want the person in question to answer.
There are the following options:
- Standard (Checked - OK, Checked - Not OK, Pending, Not Applicable)
- Measurements (table for product measurements and tolerance level)
- Multiple choice (create as many options as you want, include detailed descriptions, provide a score for each answer, assign color, and select failed if the answer should trigger a non-conformity),
- Text
- Text table (spreadsheet)
- Production unit data (data that should be uploaded to the information on the production unit)
- Supplier Data (data that should be uploaded to the information on the Supplier).
For each checkpoint you also have four additional options: show status buttons (if you want Checked - OK, Checked - Not OK, Pending, Not Applicable as an option at the top of the checkpoint), Add visual space below checkpoint, Mandatory to fill in and Mandatory to take pictures (makes it impossible to finish the audit without taking pictures or video).
Once you have completed setting up your checklist, you are ready to plan your audit. When doing so, ensure that you select the appropriate checklist for the audit being conducted.
An audit type does not have a specific checklist connected. But you can choose to use the same checklist for the same audit type. But it may be that you want to remove or add some information requests for specific locations, suppliers, production units, etc. in a new version of the checklist.
